Key Items are items that the party needs in order to progress a certain event. (In other RPG games, they are usually referred to as quest items.)
Unlike regular items, key items are not stored in the party's inventory. This not only leaves more room for adventuring gear, but also makes it impossible for the party to accidentally drop or sell a key item, or not to have enough inventory space to carry it when first obtaining it.
A list of key Items that the party owns can be seen through the camp menu (keyboard: Q); the use of key items on relevant locations or in conversation with NPCs is usually automatic.
Once found, key items are considered to be in possession of any adventuring party without the player having to transfer them. (That happens regardless of whether there are any common party members in the party that found the item and the one that is adventuring later on.) That way, for example, any party can pass through a previously locked door once one party has found the key, and an item picked up by one party can be delivered to the needed location by another.
